Every Title Accounted For
Titled assets exist in a documentary chain. A vehicle has a certificate of title from a state DMV. An aircraft has an FAA registration. A vessel has a Coast Guard documentation certificate. Heavy equipment carries a manufacturer’s statement of origin.
Each asset record captures type, description, unique identifier (VIN, serial number, hull number), acquisition details, and owning entity. Title records capture issuing authority, title number, issue date, and whether a lien appears on the title. After a lien release, a state transfer, or a correction, the new title becomes active and the prior title moves to superseded status. Both remain in the registry. When an auditor asks for the ownership chain on equipment acquired three years ago, you pull the complete record in seconds.
Ownership, Not Operations

The registry covers four things: what you own (titled tangible assets with acquisition details and unique identifiers), that you own it (title documents linked to each asset), whether it’s encumbered (active liens, security interests, release status), and what happened to it (disposition records when assets are sold, transferred, traded in, or scrapped). When you dispose of an asset, the record stays. Tax audits look back seven or more years. Due diligence reviews need historical proof; a registry showing only current assets fails when the question is about what you owned last year.
Liens and Encumbrances
Lien tracking delivers the most compliance value from asset records. When an organization pledges equipment as collateral, both lender and borrower need a clear record of the security interest.
Each lien record captures type (purchase money, refinance, tax lien, judgment lien) with lienholder, original amount, and recording date. When you satisfy a lien, the record captures the release date and status change. Released liens stay in the registry alongside active records. For assets pledged under credit facilities tracked in Treasury, lien records provide matching documentation — the security interest in Treasury has a corresponding lien record on the asset. These scenarios surface often: a lender extending new credit needs to know which assets are pledged; insurers require proof of unencumbered ownership before binding; acquirers need a complete picture of encumbrances; internal transfers with active liens typically need lender consent.
