Plan Changes & Subscription End

Last updated: October 19, 2026

A subscription’s access can change without anyone editing a record: a trial ends, a payment is missed, you move to another plan, or you cancel. This page covers what each of those does and what brings access back. The billing buttons themselves are on Subscription & Billing.

When access pauses

Access pauses when a trial runs out, when a cancelled subscription reaches the end of its paid period, or when a payment isn’t made. Pausing deletes nothing. Your records, files, configuration, and history all stay as they were, but nobody can work in the subscription until access returns.

Each page you open shows Access Restricted and the reason. Every member can still reach their own Account page, and admins can also get to the Subscription page to fix the cause.

When access has paused for billing reasons, admins see one of these messages, and each has its own fix:

The page saysWhyWhat restores access
Your trial has expired. Purchase a subscription to keep going. You didn’t take out a subscription before the trial ran out.Click Subscribe, pick a plan, and pay.
Your subscription has expired. Renew your subscription to keep going.A subscription bought through self-serve checkout came to an end, either because it was cancelled or because a card payment never succeeded.Renew from the Subscription page.
Your trial has ended and your quote is awaiting acceptance. You requested a quote, but the trial finished before you accepted it.Accept the quote by replying to the quote email.
Your subscription invoice is past due.The first invoice went unpaid past its due date.Pay the invoice; the Subscription page has the link.
Your subscription access has lapsed for non-payment.A renewal invoice was still unpaid when its grace period ended.Pay the invoice or contact support.

Whatever the cause, members who aren’t admins get one message, Your subscription has been canceled. Please contact your subscription administrator with any questions., because only an admin can fix it. From their Account page they can move to another subscription they belong to. A person who administers no subscription at all is also offered Start free trial, which opens a fresh trial workspace; it does not bring back the paused one.

A subscription whose deletion has been requested looks different. Every member sees a page that begins Deletion of this subscription has been requested and access is suspended. and tells them to contact support to cancel the request.

A paused subscription doesn’t stay paused forever. Renewing it picks up exactly where you left off.

Late payments

A missed payment doesn’t pause access straight away.

  • Card subscription. The Subscription page shows Invoice Awaiting Payment, with We couldn’t process your most recent payment. and Update payment method. Access carries on while the payment is retried.
  • Invoice subscription. The notice carries a View invoice link instead, and access lasts until the invoice’s due date. A renewal invoice gets a grace period beyond that date.

When that time runs out, access pauses, as described in When access pauses.

Changing plans

Paid subscriptions change plan from Manage Your Subscription on the Subscription page, where Plan & Billing covers the plan and the number of seats. If you pay by invoice, email team@lextree.ai with the change you want, and a prorated invoice follows. A new trial’s first sign-in also offers a plan switch, and its confirmation lists exactly what the change adds or removes.

A move to a higher plan switches on everything that plan includes. A move to a lower plan switches off whatever it leaves out, and some of those changes aren’t reversed when you move back up. Plans and features shows which plan includes what.

What turns off on a downgrade

When the new plan doesn’t include a feature in the first column, this happens:

The new plan doesn’t includeWhat happens
WorkflowsWorkflows stop working. Your templates and any workflows in progress stay in place and return if you go back to a plan with workflows.
ReportingReporting stops, and nobody keeps Reporter access. You’ll need to give it out again after moving back.
Ownership chartsOwnership charts stop working. Charts you’ve saved are kept and reappear with the feature.
Email-only reminder recipientsPeople outside Lextree stop getting reminder emails. They stay on file as recipients, and the emails resume when the feature returns.
Per-module rolesThe Editor and Viewer distinction goes away: everyone is an Editor in each module that’s turned on.
GuestsGuests are deactivated, and guest invitations you’ve already sent are cancelled.
Access groupsYour access groups are deleted, and every member can see every record in the modules they can open.
Audit historyThe logs turn off.
API and AI-assistant accessThe API and the assistant connection stop working, and every API key is revoked, so you need new keys after moving back.

Seats and storage

File storage follows the new plan too. If you’re over the new allowance, nothing is removed, but Lextree refuses new files until usage is back under it. Attachments has more on how storage is counted.

Seats are tied to the plan as well. If you cut them, the lower bill starts only when the paid period ends. Until that date, the Subscription page shows Seat Adjustment Pending. It gives three figures: the seats that are active, the seat count you’re still billed for and the date that runs to, and the number of seats you can switch back on at no charge.

Cancelling

Cancel subscription on the Subscription page stops the subscription from renewing, and access doesn’t end right away. The status changes to Cancel on expiration, Renews becomes Access ends in the date row, and everyone can keep working until that date. Once it passes, access pauses (see When access pauses).

A one-year subscription is renewed by accepting a quote, not automatically, and it has no cancel button. Its date row reads Term ends, and the subscription ends on that date unless you accept the renewal quote.

Deleting

Delete subscription forever on the Subscription page is the one step you can’t undo yourself. Deleting Your Subscription has the steps, and The Waiting Period says what to do if it was a mistake.

Access stops immediately. The exception is a subscription that was already cancelled with time still paid for, which keeps working until that period ends. Members then see a banner reading This subscription is scheduled for permanent deletion on …, and admins are emailed the date, followed by a reminder close to it.

Access explains who holds a seat and how roles work. Account covers switching to another subscription or leaving one yourself.
