Email-Only Reminder Recipients

Last updated: October 19, 2026

Some people a deadline matters to have no business inside Lextree. An insurance broker, a landlord’s agent, or a shared compliance mailbox needs the reminder, not an account. An email-only recipient is how you reach them. This page covers adding one, choosing one on an event, and what they receive. For the events themselves, see Events.

Who an email-only recipient is

An email-only recipient is a person outside Lextree with a name and an email address. They have no account and no membership, and they never open a record. They receive calendar reminders and nothing else.

A Guest is different. A guest is a view-only member who can sign in and read the records they have been given; see Roles. An email-only recipient cannot sign in at all. They also never take up a seat.

Email-only recipients are available on Business and Enterprise plans.

Adding a recipient

Only admins can add a recipient. Open Access → Email recipients, or add one straight from an event’s Recipients picker.

  1. Click New recipient.
  2. Enter a name and an email address.
  3. Save.

Lextree sends the person a confirmation email. Until they confirm, the row reads Awaiting confirmation. Resend sends the confirmation again, at most once an hour.

If the address already belongs to a recipient, Lextree uses that recipient instead of creating a second one. If the address has declined reminders, Lextree refuses it. Only the person can reverse that, from the link in their email.

Delete removes a recipient permanently. It also takes them off every event and event template that lists them.

Choosing recipients on an event or template

An Editor picks email-only recipients in the Recipients picker when creating or editing an event. Only admins can edit event templates, so admins are the ones who set email-only recipients as a template’s default recipients.

In the picker, a recipient appears by name, followed by (email only). Until the person confirms, it reads (email only, pending). You can choose a pending recipient. Reminders start only after they confirm.

While an email-only recipient is selected, a line under the picker tells you what they will receive. If you are an admin, the picker also lets you add a new recipient without leaving the form.

What the recipient receives

The first email asks for permission. It tells them who is asking to send reminders and what those reminders will contain, and it offers Confirm and Decline buttons. Nothing else is sent until they confirm.

After that, each reminder contains five facts and no more: the sending organization, the record the event is on, and the event’s title, date, and description. Nothing else from the record is included, and the email links nowhere into Lextree, since the recipient has no account to open it with.

Every reminder also carries a link to stop reminders. The person can stop them from your organization, or from every organization that uses Lextree. Only the recipient can undo stopping, from the same link. No admin can re-enrol an address that has declined.

Email-only recipients get reminders only. They get no workflow prompts, no suggestions, and no digest settings.

Plans, seats, and downgrades

Email-only recipients are available on Business and Enterprise plans, and they do not use a seat.

If your plan changes to one without the feature, reminders to people outside Lextree stop. Your recipients are kept, and their reminders resume if the feature comes back. See what turns off on a downgrade for the full list. For the people who do have access to Lextree, see Access.
