Assets

The Assets module is a registry for titled tangible assets — vehicles, aircraft, vessels, heavy equipment, and trailers. It exists to prove ownership: which assets your organization owns, the title documents that establish ownership, and any liens against them. It is not an operational asset-management tool (no location tracking, condition monitoring, or maintenance scheduling).
Each asset belongs to an owning organization.
The Assets list
Open Assets from the left navigation to see every asset you can access. The list shows:

Filter by any column using the row beneath the headers. Export becomes available once you select one or more rows.
Creating an asset
Creating an asset requires Editor access to the Assets module.
- From the Assets list, click New.
- Choose the Owner (the organization that owns the asset).
- Set the Asset type and Description.
- Record the identifying and acquisition details as needed — VIN / serial number, Acquisition date, Acquisition type, and Acquisition cost.
- Click Save.
If the asset is later sold or retired, record the Disposition date, type, and amount. The asset stays in the registry as historical proof of ownership rather than being deleted.
The asset record
An asset’s record page shows all of its details at the top. It also shows a Status that reflects the ownership lifecycle (active, disposed, transferred) and a Timeline. Open the Timeline with view history to see how that status changed over time.
Below the details are expandable sections:
Titles
The title documents that prove ownership — certificate of title, bill of sale, manufacturer’s statement of origin. Each title records its type, number, issuing authority, issue date, and whether a lien is noted. An asset can have more than one title over time, such as a new title issued after a lien is released.
Liens
The liens and security interests encumbering the asset, including the lienholder. Use this to prove an asset is unencumbered for financing or insurance.
Who can access assets
- Viewing assets requires access to the Assets module.
- Creating or editing an asset, title, or lien requires Editor access to the Assets module.
On Enterprise plans, organizational unit (OU) scoping limits the list to assets owned by entities within your assigned OUs.
