Properties and Ownership
Lextree starts with a central registry: every owned and leased property catalogued with type, address, parcel number, and occupancy status. Property ownership in multi-entity organizations is rarely simple. A parent might hold title to headquarters while subsidiaries lease satellite offices. An investment LLC might own a retail property with a joint venture partner holding a minority interest.
Each property record captures every ownership relationship — multiple owners, your managed entities and external parties — with ownership type, percentage, acquisition date, and recording reference. When you need to answer which entities hold title to which properties, the answer is ready. A separate dataset captures investor interests for investment properties: general partners, limited partners, LLC members, joint venture partners with ownership percentages and capital contributions.
Leases and Amendments
Lease administration platforms handle rent rolls, tenant ledgers, and CAM reconciliations. Corporate compliance teams need something different — which leases are expiring, which have upcoming option deadlines, whether every amendment is documented.
Each lease record captures commencement and expiration dates, base rent, escalation terms, renewal options, and auto-renewal provisions. The record notes whether you’re landlord or tenant, lease type (gross, net, NNN), and termination provisions. A single lease can list tenants, co-signers, and guarantors, each linked to your entities or tagged as external. Expiration reminders start 180 days out, with follow-ups at 90, 60, and 30 days — the longer lead time reflects negotiation, budgeting, and sometimes board approval. Each amendment, extension, expansion, rent adjustment, and termination agreement links to the parent lease with its effective date and a record of what changed.
Financing and Encumbrances
Commercial properties carry financial obligations beyond the lease. Mortgages, liens, easements, and security interests affect title and create compliance requirements.
Lextree tracks encumbrances — mortgages, deeds of trust, liens, easements, restrictions, UCC filings — with recording dates, priority positions, and release status. The Financing dataset captures the loan itself: principal, interest rate, maturity date, amortization terms, prepayment provisions. Loan covenants get their own tracking — financial covenants (DSCR minimums, LTV maximums), reporting covenants (annual statements, insurance certificates), and operating covenants. Maturity reminders start 180 days out. If you track corporate-level debt in Treasury, use Real Estate Financing for property-secured obligations.
Property-Level Compliance
Four optional datasets cover recurring property obligations: Property Insurance (coverage by type, deductibles, expiration), Property Tax (filings by jurisdiction and tax year), Property Permits (building permits, occupancy certificates, fire and elevator permits, zoning variances), and Property Inspections (fire safety, building, elevator, HVAC, electrical, environmental).
Each dataset is optional. Organizations that manage insurance centrally use the Insurance module instead. Those that track property taxes through their tax department use the Taxes module. When an entity’s good standing lapses, you see every property where that entity holds title or is party to a lease. When an insurance policy approaches expiration, trace it to the property it covers and the lease that requires it.
