Timeline
Track point-in-time compliance status for every record. Prove what was valid on any date with automated state history and full audit traceability.
Build a dated state history for every record — proof of what happened and when, linked back to the source
When Compliance Turns on a Date
The auditor asked: “Was this board member authorized to sign on December 31?” The paralegal knew the answer, but proving it meant digging through email archives, SharePoint folders, and a spreadsheet last updated six months ago. Two hours later — fragments from three sources, none definitive.
Auditors, regulators, and underwriters ask temporal questions constantly. Was this contract in effect during the audit period? Was this officer authorized when they signed that document?
An unauthorized signature may void a contract. A lapsed license can unwind an entire transaction. Lextree Timeline tracks the full state history of every compliance record — when states changed, why they changed, and where the proof lives.
Prove Status at Any Point in Time
Lifecycle States
Every compliance record moves through states. A contract goes from draft to effective to amended to renewed or terminated. An insurance policy is quoted, bound, effective, and eventually expires or renews.
Point-in-time compliance questions target specific moments. When a regulator asks whether a license was active on the date of a transaction, “we think so” isn’t an answer. When an underwriter evaluating a Directors & Officers (D&O) renewal asks about board composition during the prior coverage period, you need a documented response.
Sourced and Traceable
Lextree Timeline presents the complete state history as a chronological sequence. Each entry carries an effective date, state name, and link to its source.
Open a board member’s record to see the full history. Each appointment links to the appointment record, each reappointment to its own source, and term expiration computes from the end date — every transition documented, every source traceable.
The current state is the most recent timeline entry. No separate status field to maintain. No risk of updates falling out of sync.
State History That Builds Itself
Manual state tracking works for the first few months, then quietly falls apart. Someone forgets the spreadsheet; a new hire doesn’t know the process; an urgent matter pushes bookkeeping to “later.” By the time an auditor asks, the history has gaps no one can fill.
Lextree builds timeline entries automatically from authoritative sources already in the system.
From Related Records
When you create a board appointment record, the board member’s timeline shows “appointed” with the effective date. Enter a resignation record, and “resigned” appears. The timeline derives state from the records that prove it — no separate update required.
From Workflow Completions
When an approval workflow completes, the timeline reflects the change. A contract approval generates an “approved” entry, linked back to the workflow. The deliberation history — who checked which items, when, and why — lives in the workflow; the timeline captures the outcome.
From Date Computations
Some state changes are predictable. A board member’s term expires on a specific date. A license granted for two years lapses at the end of that period.
Lextree evaluates date fields and creates timeline entries when computed states become valid. “Term expired” appears on the expiration date — no one needs to remember.
Every derived entry carries a source link. When someone asks “how do you know this contract was effective on that date?” the entry points directly to the evidence.
Query Across Records and Time
The full history of one record answers one auditor’s question. Querying across records by timeline state answers them all.
Current State Filters
Which board members are currently appointed? Which contracts are effective? Which licenses have expired? Filter records by their most recent timeline entry to see compliance status across your portfolio right now.
Point-in-Time Queries
Which contracts were effective on December 31 for the annual audit? Which board members were appointed during Q3 when that resolution passed? Which insurance policies were active on the date of the incident?
These aren’t reports someone builds and maintains. When an auditor asks for all effective contracts as of a specific date, the answer is a filter — not a research project.
Year-end audits no longer require weeks assembling snapshots from scattered sources. Insurance renewal questionnaires about board composition during the prior period have documented answers ready.
Complete the Historical Record
Add Historical Context
Not every state change leaves a structured trail. Verbal authorizations predate formal resolutions. Informal decisions matter but lack documentary evidence.
Lextree supports manual timeline entries for these gaps. Add an entry with the state, effective date, and context. Each manual entry carries a user-entered label, distinct from derived entries, so the timeline honestly reflects what’s documented and what’s attested.
When you adopt Lextree, your compliance history doesn’t start from zero. Enter known historical states — when the business incorporated, when key contracts became effective, when board members were originally appointed. The timeline reflects the full lifecycle, not just the period since adoption.
Connected Platform Features
Workflow completions drive timeline entries. When an approval process completes, “approved” appears on the record’s timeline, linked to the workflow that authorized it. The timeline shows the outcome; the workflow preserves the deliberation.
Events look forward where Timeline looks back. Events track what’s coming — the next renewal, the upcoming board meeting, the filing due date. Timeline records what already happened. Together, they give every record its full temporal picture: where it’s been and what’s next.
File attachments provide documentary proof. The certificate of good standing backs the “active” entry. The signed board resolution backs the “appointed” entry. The timeline synthesizes the state; the documents prove it.
