Organizations managing dozens or hundreds of vendors face a constant cycle of expiring documents. COIs expire annually, W-8 forms every three years, professional licenses on their own schedules. Tracking this in spreadsheets and email guarantees gaps that surface during an audit, at tax time, or when a client asks for vendor qualification records. A Qualified Registry
Lextree treats vendor management as a compliance function, not a procurement function. When you add a vendor, a qualification workflow triggers with configurable checklist items: W-9 received, COI verified, background check complete, license confirmed.
The workflow creates an auditable record of each step — who completed it, when, what documentation they reviewed. When an auditor asks about your due diligence process, you hand them the qualification history. Vendors move through lifecycle states (approved, suspended, terminated) with every transition recorded. Classify by type — suppliers, contractors, consultants, professional services, technology providers — so contractors who require additional steps get different checklists than suppliers who need only a W-9 and COI.
Every Compliance Document
Certificates of insurance are the most common vendor compliance document, and the most commonly expired. Each COI captures policy type, coverage amounts, effective and expiration dates, and critical endorsements. Additional insured status and waiver of subrogation — two requirements in vendor contracts that rarely get tracked — stay with the record. Reminders start 60 days before expiration, with follow-ups at 30 and 14 days. When the certificate itself is the primary job — requirement matching, endorsement verification, and AI extraction at scale — certificate of insurance tracking software goes deeper on the COI than the vendor registry does.
Tax documentation gets the same rigor. You need a W-9 from every domestic vendor you pay $600 or more; foreign vendors require a W-8BEN or W-8BEN-E that expires every three years. Each record captures document type, tax name, classification, tax ID verification, and 1099 exemption status. When accounting asks whether you have a current W-9 for every vendor you paid this year, you answer confidently instead of scrambling through email.
Licenses and Certifications
Some vendor relationships require more than insurance and tax documentation. The electrician needs a contractor’s license. The CPA firm needs active professional credentials. The IT services provider claims SOC 2 Type II.

License records capture type, number, issuing authority, jurisdiction, and expiration, with reminders starting 90 days out. Certification records track the certifying body, scope, and validity period. Your compliance posture depends on your vendors’ compliance posture. If you claim to work only with certified, licensed vendors, you need structured proof, not a folder of stale PDFs.
Tracking, Not Procurement
Lextree isn’t a procurement platform. It doesn’t manage RFPs, process purchase orders, track spend, or score performance. Tools like SAP Ariba and Coupa handle those, and cost accordingly.
The Contracts module tracks the contractual relationship — terms, parties, amendments, renewal deadlines. The Vendors module tracks qualification documentation — COIs, tax forms, licenses, certifications. The same entity that appears as a vendor in your registry also appears as a contract party in Contracts. This connection reveals whether a vendor on an expiring contract is still qualified, and which expiring COIs affect contracts requiring insurance.
